We are looking for a detail-oriented, hands-on Office Manager/Executive Assistant to help provide crucial administrative and operational support for our growing organization. You will solely be responsible for handling information requests and performing clerical functions such as executive correspondences, expense reports and travel arrangements, receiving guests, arranging conference calls, and scheduling meetings, as well as, preparing statistical reports, and conducting research as requested by management.


Requirements:


  • 1 years of work experience in business administration
  • Preference given to previous Executive Assistant and Office Manager experience
  • Strategic and creative thinking skills; distinguished written and oral communications skills.
  • Proficient computer skills, including the Microsoft Office 365 suite of products.
  • Experience in renewable energy and/or waste management industry preferred.
  • Able to effectively complete competing project deadlines.
  • Initiative, diplomacy, leadership, strong work ethic, team focus.
  • Excellent time management and prioritization skills.
  • Ability to self-manage and organize workload
  • Must be able to meet deadlines in a fast paced quickly changing environment.
  • A proactive approach to problem-solving with effective judgment.
  • Ability to learn quickly and take on new responsibilities.


Job Requirements:
  • Booking executive travel arrangements including complex international travel
  • Prepare for internal and external meetings including creating presentations
  • Managing the chief executive's diary, scheduling and arranging meetings including venues and travel arrangements
  • Provide travel arrangements for executive team
  • Manage executive schedules and travel arrangements
  • Managing executive schedules and coordinate travel arrangements
  • Arrange and manage internal and external meetings and external events/conferences
  • Making travel arrangements for portfolio travel, industry travel and meetings
  • Organising internal and external meetings and conference calls
  • Provide confidential executive and administrative support to the COO
  • Coordinate the executive(s) travel arrangements
  • Make travel arrangements for executives
  • Maintain calendar; coordinate meetings and travel arrangements
  • Support an executive with travel arrangements, managing calendar and scheduling meetings
  • Assist other executive administrative staff and executive management
  • Assist executives with travel arrangements and expense reports
  • Book travel primarily for domestic travel
  • Making travel arrangements and completing expense reports
  • Arranging internal and external meetings & conference calls
  • Procure travel arrangements and create travel itineraries with expense management focus
