We are looking for an experienced, polished professional to support the General Counsel, the Chief Financial Officer, and the VP of Business and Legal Affairs. Additional support is expected for the Executive Department and certain business lines.

  • Anticipate and execute on the sophisticated, dynamic needs of senior leadership.
  • Juggle multiple tasks with finesse.
  • Manage and organize complex and demanding calendars.
  • Represent the company with excellent and poised internal and external communication.
  • Screen and route phone calls and emails with the utmost professionalism.
  • Manage and track budgets and projections for the departments.
  • Code and process invoices for payment; complete purchase requisitions, requests for payments and expense reports.
  • Prepare annual filings and business license renewals in the various states where registered to do business
  • Organize and maintain insurance certificates for vendors
  • Manage DocuSign approvals for multiple departments.
  • Handle highly confidential and/or sensitive departmental matters with discretion and tact.
  • Partner with other assistants to provide additional support or back-up when needed.


  • Minimum 4 years of administration experience supporting multiple people in a fast-paced environment.
  • College degree preferred but not required.
  • Extensive Microsoft Office applications (Word, Excel, PowerPoint, & Outlook) experience and skills.
  • Ability to deliver actionables and complete tasks against multiple projects and deadlines.
  • Excellent verbal and written communication skills.
  • Ability to simplify and communicate information tailored to the target audience.
  • Strong attention to detail with exceptional follow-up and organization.
  • Internet savvy and an early adopter of new technology.
  • California Notary Public license a plus, or ability to obtain.
  • Love Italian food, health & fitness, and movies!
