Executive Administrative Assistant

We are looking for an energetic, intelligent, highly organized, and service oriented individual that can plan, coordinate, and manage the schedule and activities of a busy executive. We are seeking someone with an incredible attention to detail that has the capability to juggle multiple priorities. The Executive Administrative Assistant will be expected to provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling and supporting meetings.

This is a new position for our company. The successful candidate will be expected to help define and grow with the role.

  • Manage and maintain executives' schedules.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Prepare responses to correspondence containing routine inquiries.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
  • File and retrieve corporate documents, records, and reports.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Compile, transcribe, and distribute minutes of meetings.
  • Make travel, accommodations, or entertainment arrangements for others.
  • Prepare documentation for contracts, transactions, or regulatory compliance.
  • Manage clerical or administrative activities.
  • Schedule operational activities.
  • Compile data or documentation.
  • File documents or records.
  • Explain regulations, policies, or procedures.
  • Read materials to determine needed actions.
  • Transcribe spoken or written information.
  • Prepare invoice approvals, reports, memos, letters, and other documents, using word processing, spreadsheet, or presentation software.
  • Meet with individuals, groups, and others on behalf of executives.
  • Arrange for employee training by scheduling training or organizing training material.
  • Prepare research or technical reports.
  • Greet customers, patrons, or visitors.
  • Develop organizational policies or programs.
  • Confer with coworkers to coordinate work activities.
Preferred Education and Experience:
  • 3+ years of experience as an Office Administrator, Administrative Assistant, or similar position in a fast-paced environment.
  • High School Diploma. Bachelor s Degree preferred.
Computer Skills:
  • Microsoft Outlook
  • MS Office/MS 365 Proficiency including WORD, Excel, and PowerPoint
