OfficeTeam is looking for an eager and professional Executive Assistant to join the team on a temporary basis. This Executive Assistant role goes above and beyond the scope of a typical EA position. The Executive Assistant becomes the right hand to members of the executive team s/he supports, preempting their needs, requirements and constantly being one step ahead of the game. The role requires excellent planning and prioritization skills, adjust events and schedules in real time, as well as handling urgent matters when they arise
-Maintain schedules and coordinate travel itineraries and related plans.
-Schedule conference calls, meetings, and events for department guests.
-Coordinate events and work with influential leaders within and outside the Bank
-Maintain records and create status reports, presentations, charts, graphs, spreadsheets and databases, often confidential.
-Help with special assignments, and completing/coordinating ad-hoc projects.
-Provide backup support to other Executive/Senior Executive Assistants
-Create and proofread complex or confidential correspondence; communicate confidential information; manage executive level information.
-Prepare and manage departmental budget, track monthly expenses and coordinate with executives to identify and anticipate expenses for the current and upcoming year for budget purposesJob Requirements:
-Associates degree or higher
-6 years or more of experience providing similar administrative support
-Experience maintaining high degree of confidentiality and making decisions where precedents may not be established
-Experience managing a high volume and variety of tasks, handling frequent interruptions, setting priorities, and responding to change
-Experience working with high-level individuals in corporate, political and social settings
-Experience using computer programs and software to complete work
-Equivalent education and/or experience may be substituted for any of the above requirements
