Deals professionally and discreetly with sensitive, confidential information concerning hospital affairs, information contained in minutes, letters and other documents.
Demonstrates effective and appropriate communication with physicians, Department Managers, other employees, patients and visitors.
Prepare correspondence as requested for C-level executives, to include letters, memos, forms, policies and procedures.
Provide administrative support for C-level executives to include telephone coverage, screening calls, visitors, and mail; compile data and prepare reports and presentations as required, process required forms, paper/electronic file maintenance (per Corporate retention schedule), and necessary communications internally and externally.
Assist the Senior Executive Assistant in the management of the C-level executive's schedules; proactively manage on-time meeting attendance and report deadlines.
Greet all visitors, patients, hospital staff, and medical staff in the front office. Screen/handle any issues/concerns with discretion and empathy taking appropriate action as directed by facility policy.
Act as liaison between Medical Staff members and C-level executives, responding in a timely manner to issues/requests.
Act as liaison with the Division C-level executives and their support staff, to ensure the timely fulfillment of requests, completion of reports, etc.
Maintain Facility Organizational charts.
Assist the Senior Executive Assistant in coordination of all meetings both on and off campus and travel arrangements for C-level executives and other hospital employees as required.
File expense reports for C-level executives through the HCA Concur system. Book all travel through HCA Concur system.Other Duties
Maintain Administration office appearance, supplies, etc.
Answer Administration office phone and greet/direct visitors and staff as appropriate.
Maintain Business Courtesies Log and the Tokens of Appreciation log, according to HCA Ethics and Compliance policies.
Maintain Division Sharepoint site to ensure current contact information on hospital C-level executives and Key Department Directors.
Maintain distribution lists in Outlook.
Utilizing online FedEx account, prepare shipments as required.
Prepare check requests, process for payment through the AP process.
Handle/screen with discretion and empathy, any patient/family/physician/employee grievances (Telephone/in person). Take appropriate action to assist in resolving issues as directed by hospital policy.
Coordinator of regulatory requirements (i.e., Joint Commission) for department including appropriate record keeping/documentation.
Provide notary services for patients, hospital staff and medical staff.
With other members of administrative support team, assist in the command center for disaster drills and snow emergencies according to Hospital policy.
Maintain Emergency Disaster Roster.
Maintain Board room meeting schedule and schedule meetings in other classrooms as requested.
Participate on hospital committees as requested.
Assist other department managers as requested.
Experience: At least 5 years of administrative/executive level experience. Proficient in Microsoft Office Applications. Excellent written and oral communication skills; strong interpersonal skills. Calm, professional demeanor, ability to relate with public, medical staff, and hospital staff in any situation. Ability to adapt to fast-paced, ever-changing open office environment that demands tact and confidentiality. Must be willing to step outside the job , observe and perform tasks that ensure successful day-to-day hospital operations. Self-starter, ability to work with minimal supervision.HOURS OF WORK
