Job Description: Ultra-high net worth family based in NY is seeking an Executive/Personal assistant whose primary role is to support the principal of the family office as well as other family members. This position requires anticipating the principal's needs, resourceful in their execution and completing tasks efficiently and accurately through skilled management of time priorities and projects The principal maintains multiple residences in the UK and US and travels extensively. Extensive phone contact and managing across multiple time zones. This position will need to accompany the principal to various locatons approximately 4-6 weeks per year. Preparing and coordinating communications and complex personal/professional calendar management Organize and manage domestic/international travel arrangements; coordinate complex itinerary details Manage and work proactively with family office support staff including CFO, Trustees, Senior Accountant and A/P. Providing myriad administrative and concierge services Property oversight and management of personal staff and residences Available during non-work hours to handle matters of an immediate nature Qualifications: 10years of administrative/personal assistant experience supporting senior C-suite level executives in and out of the office. Exposure to high net worth family Strong PC and Apple skills and an excellent understanding of Microsoft Outlook, Word and Excel (Quickbooks a plus) as well as an ability to coordinate and manage the IT needs of the residences. Must be a resourceful troubleshooter who has the ambition and knowledge to solve problems in-house as much as possible and, when required, keen to ask the right questions of service providers for quick solutions. Exceptional commnication, organizational, contact and calendar management skills. Unfailing respect, courtesy and genuine empathy in interactions with family, co-workers, advisors and tradespeople while also asserting high expectations. Big picture orientedneed to create out-of-the-box solutions and work arounds. Meticulous command of details Maturity, judgment and resilience under the stress of demands, deadlines and criticism. Enjoys operating based in a 4 person office utilizing broad skills Bachelor's degree Job Responsibilities Planning and organizing extensive and detailed domestic and international travel and reservation management with scrupulous attention to details Extensive assistance for personal activities of the principal and his family including entertaining, decorating, philanthropy and special events Organize, maintain contacts, calendar and family office database Manage personal finances and handle sensitive and confidential information with discretion Maintain and update ongoing progress report Serve as liaison with third-party vendors both business and personal. Interview, recruit, and manage household staff and discharge as needed. Ongoing maintenance and building projects in mulitple residences in the US and UK. Assist with meeting/event coordination Off hour availability via cell and email. Special projects
