Reporting to the CEO, the Executive Assistant will be handling a wide variety of matters involving the administrative functions of the office in order to relieve the executive to handle executive level responsibilities. This role will interact with all layers of the organization ensuring that the vision of the CEO is carried out throughout the entire corporate structure.



Job Requirements:

Essential Job Duties

Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

Assists executive in project management and coordination of resources.

Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions. Represents executive in meetings and presents summary notes.

Prepares reports by collecting and analyzing information.

Must have excellent interpersonal skills; must be able to respond to employees, customers, vendors or other business partners in a diplomatic way, when needed

Proficiency in MS Office products including Outlook, Word, Excel, PowerPoint, and One Note

Quick learner and handles change well

Efficient multi-tasker with ability to thrive in a complex, fast-paced environment

Exceptional organizational and planning skills; acute attention to detail

Excellent oral skills in an environment requiring diplomacy and good judgment in managing interaction with individuals at all levels inside and outside an organization environment

Proven attitude and ability to provide high quality support to members of an executive team by identifying priorities and effectively meeting deadlines

Prior executive administrative experience is required

Qualifications & Experience

1-3 years Executive Assistant of related experience and/or training.

Minimum of two years' of providing support at an executive level.

Bachelor s degree preferred.

Work Environment

Must be able to sit and use a computer for extended periods of time and able to stand, walk, kneel and bend throughout the day.

Ability to lift and carry over 15 lbs.
