The Executive Assistant operates independently to provide a wide range of administrative and decision-making support in a highly visible role supporting the VP of North American Contact Centers and assisting with departmental needs to successfully meet business objectives. Confidently manage responsibilities with a high degree of responsiveness and confidentiality

Position Description

Effectively manage time through strategic and proactive calendar management and scheduling, including preparing any necessary documentation (e.g. agenda, presentations) for scheduled events. Act as a partner and team member collaborating closely with all levels of the Legal Department including but not limited to other Executive Administrative Professionals and Paralegals. Additionally, able to partner and collaborate with Graingers Executive Administrative Professionals to establish, evolve and communicate the Grainger expectations and standards for the Administrative Business Partners.

  • Acts as first point of contact for general department inquiries, providing superior customer service and ensuring all incoming requests (e.g. emails, phone calls, visitors, etc.) are prioritized
  • Coordinate onsite and offsite meeting planning including conference room reservations, meeting setup and implementation (including technology) and vendor management.
  • Schedule and manage complex business travel logistics and ensure leader has necessary documentation for travel (international and domestic)
  • Prepare expense reports and reconcile departmental expenses according to the T & E policy; resolve discrepancies
  • Organize, maintain and update various paper and electronic documents including composing, modifying, proofreading, disseminating or filing
  • Monitor, maintain, and order department supplies and manage associated budget
  • Prepare legal documents for review, approval, and use by attorneys
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation.
  • Draft and proofread correspondence and legal documents
Position Requirements:

REQUIRED EXPERIENCES AND COMPETENCIES:

  • Bachelors degree or equivalent experience preferred.
  • 1-5 years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal
  • Uncompromising use of discretion and commitment to confidentiality.
  • Excellent written and oral communication skills and the ability to effectively prioritize multiple tasks to meet deadlines are a must.
  • Strong organizational skills and an aggressive problem-solving ability are critical.
  • Detail-oriented and highly organized.
  • Ability to work independently, manage large workloads, and keep deadlines.
  • Ability to work as a member of a team and effectively collaborate with all Legal Department team members and other areas of the business as well.
  • Must be proactive and accountable.
  • Ability to streamline processes.
  • Proficient in MS Office 365, Word, Excel, OneNote, Outlook.
  • Ability to use eBilling, Matter Management and eDiscovery software a plus.
  • Ability to deal with high level executives both internal and external in a professional manner. Ability to act professional and respectful when dealing with complicated situations and/or people.
