Hours: Monday Thursday, 8:00 am 12:00 pm
Pay: $18-20.00 per hour, based on experience
Location: De Pere, WI

Summary: A small, flourishing professional services business in the De Pere area is seeking an experienced Executive Assistant who excels in a front-facing environment where they are the first impression of the company. This individual is versed in areas of client confidentiality, written and verbal communication, basic accounting and billing, coordinating payroll with outside accounting firm, general administrative tasks, and, above all, professionalism. Primary duties will include providing administrative support for president and basic bookkeeping. Other duties will include utilizing time tracking system for reports, creating proposals/responding to requests for proposals, answering phones, scheduling, booking reservations, coordinating with vendors and tenants, event planning/execution, written correspondence including emails, memos, and other internal documents, as well as special projects or other administrative duties as assigned. Qualified Executive Assistants must have a working knowledge of QuickBooks, Microsoft Word, Excel, and Outlook, and an understanding of time tracking software (training available). Interested Executive Assistant candidates should have a desire to take ownership of their role and take great care of the president and her team. Must have 5 years experience working in a professional setting.

Job Requirements:
  • Bookkeeping: paying bills, invoicing clients, coordinating payroll and financial reports with accounting partner, tenant payments
  • Reception: answering phones, greeting guests/clients, and directing traffic to appropriate person.
  • Scheduling: keeping calendars up-to-date including booking reservations or travel accommodations.
  • Coordination: communication with key vendors: accounting, banking, technology, insurance, equipment lease agreements, etc.
  • Documents: draft client contracts, cost estimates, emails, memos, and other internal correspondence as needed.
  • Event Logistics: assist in coordination and execution of business events as needed.
  • Assistant: assist the owner with various assigned projects and needs.
  • Various office administrative tasks as assigned.

  • Associate degree required, additional preferred
  • Minimum of 5 years experience working in a professional setting, small business preferred
