Qualified candidate will provide extensive administrative support to the Clinical Development department, in Gaithersburg and to the VP, Clinical Development, and will act as coordinator of departmental projects. The candidate must have strong organizational skills, the ability to plan and prioritize, and the ability to effectively coordinate with other teams and departments.

ESSENTIAL FUNCTIONS

Coordinate and schedule meetings and conference calls
Plan and execute off-site meetings and events as needed
Manage recurring meetings: maintain agenda and hand-outs, handle meeting logistics including food service, and take/distribute minutes
Manage and plan travel logistics to include domestic and international
Process department expense reports
Process necessary paperwork and maintain files for departmental contracts, purchase requests, purchase orders, invoices, credit card reconciliations, etc.
Process office supply requests in the 400P maintenance log
Assist in creating internal and external reports for the department
Manage department calendars
Manage department SharePoint pages: creating document lists and libraries, monitoring and controlling sitewide permissions, updating design and layout, etc.
Support outgoing correspondence
Support, review, comprehend and prioritize incoming correspondence and phone calls
Manage and process external conference/training requests
Maintain employee memberships, contact lists, training records
Partner with site administrative personnel to provide back-up support as needed
Provide general administrative and project-related support as needed
Must maintain a high degree of professionalism, initiative, independence in support of team members on a wide variety of complex issues
Other duties as required

EDUCATIONS, EXPERIENCE, AND SKILLS

High school diploma required. Bachelors or Associates degree preferred. 8+ years of administrative experience required. Proficiency in MS Outlook, PowerPoint, Excel, Word, and SharePoint. Knowledge of other professional software (e.g., MS Project) is appreciated. Excellent interpersonal skills and the ability to work well with all levels of management. Must possess excellent time-management skills. Ability to work independently and to identify and resolve problems.
