Summary of Position:

The Executive Assistant / Office Manager will be responsible for the administrative, operational, and organizational management of the office. The ideal candidate will be experienced in handling a wide range of operational and executive support related tasks, will be exceedingly well organized and flexible, and will enjoy the administrative challenges of supporting a small office. This individual must be able to function effectively in a variety of roles within a dynamic environment under minimum supervision.

This position requires frequent communication and coordination with new and existing clients to assist with account set-up during the on-boarding phase and managing relationships with existing clients to ensure funds are accurately transferred on a month-to-month basis.

Key Duties & Responsibilities:

  • Assist the President & CIO with his daily schedule and duties, to include managing his calendar, commitments, and various personal tasks (planning itineraries, developing agendas and meeting materials, reporting expenses, etc.)
  • Provide client liaison support to the Investor Relations / Marketing team
  • Maintain relationships with clients and ensure all paper / online client records are organized and kept up to date
  • Assist the Marketing team with maintaining marketing materials
  • Assist with expense reports and corporate credit card reconciliations
  • Perform general office management duties

Skills & Experience:

  • Excellent verbal and written communications skills
  • Excellent organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); particularly Microsoft Excel
  • Positive and outgoing individual who enjoys interacting with co-workers and clients
  • Team-focused: enjoy working as part of an active group of highly engaged individuals, sharing information readily with co-workers, and listening to and respecting others; able and willing to assist co-workers in the development of their own professional skills in order to ensure the team s success
