We are seeking a professional and personable Executive Assistant to join a pharmaceutical company in La Jolla. This person will be responsible for assisting high level executives, helping with travel, heavy calendar scheduling, and handling CONCUR expense reports. This person MUST have exceptional communication with advanced follow-up skills, the ability to multi-task many priorities from different executives and 4-8 years of experience. This is a start up coming with a lot of room to grow and offers the ability to learn and use many skills. Apply now for consideration Primary Duties and Responsibilities: Provides complex, diverse, and confidential administrative duties. Creating Concur expense reports Makes administrative decisions, handles correspondence and schedules calendar appointments. Handles business, company, and personnel details of highly confidential and sensitive nature. Engages with high level contacts inside and outside the company. Collects and prepares information for use in discussions and meeting of Executive staff and outside individuals as well as department team members. Coordinates, creates, edits and assembles slides for presentations and provides assistance with collecting and effectively presenting executive-level information. Reviews and answers mail or phone inquiries and determines if executive action is required. Arranges department and group meetings, ensuring all necessary information is available for discussion; helps track department level projects, activities and results. Coordinates domestic and international travel arrangements. Maintains sensitive records and files. Maintain the social media accounts as needed Education/Experience/Skills: Bachelor s degree in a related field 4-8 years of experience required Experience working with senior level executives Experience with calendar management, project meeting and event planning and execution, preparation of executive level presentations, travel an expense report administration. In depth experience and knowledge of organizational operations, policies and procedures. Strong analytical skills and the ability to comprehend difficult instructions and maintain written records. Strong organizational skills with comprehensive follow-through and high level of attention to detail. Ability to work independently as well as balance strong team-work and collaborative approaches. Excellent verbal and written communication including effective editing ability. Adaptability to quickly and proactively implement change initiatives, providing guidance to others in meeting changing needs.
