TheAmerican Academy of Dermatology is seeking a Senior Administrative Assistantlocated in our Rosemont, IL office responsible for assisting with a variety of projects for the Constituent Relations& Strategic Planning Department.Provide administrative support to the Chief Officer of Strategic Alliances& Planning, assist in staffing committees, task forces, and work groups with primary focus in constituent relations and strategic planning. Assist with Academy International Scholarship programs, State Society initiative and Leadership Institute programs.

Responsibilities:
  • Provideadministrative support to the Chief Officer of Strategic Alliances& Planning. Draft general correspondence, memos, reports, and letters, ensuring grammatical and typographical accuracy. Assist with preparing meeting materials, gathering Disclosure Statements, preparing and sending availability and confirmation emails for department Committees.
  • AssistAssociate Director with department projects such as planning meetings, maintaining department timelines, budget entry, and other projects as related to strategic planning initiatives.Assist Associate director with projects related to the Academy s Leadership Institute for the Annual Meeting and AAD Innovation Academy.
  • Assist Senior Manager, CRSP, withprojects related to the Academy s Leadership Forum, including tracking applications, preparing session materials, ordering supplies, and assist with projects related to Leadership Forum work groups. Attend Leadership Forum and assist with meeting logistics onsite.Assist Manager with the Academy s international scholarship programs, including the Strauss and Katz Scholarships, Registration/Reciprocal Scholarships and International Society Travel Meeting Grants.Maintain scholarship recipients lists, answer general correspondence, and assist with preparing materials for the Annual Meeting.
  • Assist Project Specialistwith projects related to the Coalition of Skin Diseases (CSD) activities at the Annual Meeting and fall legislative Conference.
  • Responsiblefor timelines related to the Academy s Annual Meeting and AAD Innovation Academy, including due dates for committee materials, and organizing packing and shipping materials.
  • Responsiblefor tracking and maintaining database of constituent groups as listed above.Also updating the President s and Executive Director s of the Academy sister society s quarterly in Aptify.
Requirements:
  • Highschool degree and minimum two years years of administrative support experience or equivalent experience, required.
  • Proficiencyin Word, Excel, and PowerPoint.
  • Experiencein a non-profit agency or related organization preferred.
  • Knowledgeof Open Water award tracking system a plus.
  • Attentionto details and the ability to meet deadlines is required.
  • WorkingKnowledge of standard office equipment; i.e. copiers, fax, etc.
  • Abilityto apply effective verbal, non-verbal, and written communication methods required.
  • Possessorganizational skills and the ability to prioritize assignments.
  • Abilityto use standard procedures and processes to make decisions.
  • Mustbe able to communicate and interact with individuals at all levels of the organization including both internal and external constituents.
